Rockstaris hiring a full-timeBookkeeping, HR Virtual Assistanton behalf of a multi-location physical therapy practice.
This is a blended role covering three distinct areas of support: bookkeeping and financial administration, HR and payroll administration, and patient-facing practice support. The VA will keep QuickBooks records accurate and current, manage employee onboarding and payroll administration, and, once financial and HR responsibilities are up to date, help support patient-facing administrative needs like phones and scheduling.
This role is a great fit for someone who is comfortable moving between structured financial/HR work and warmer, more people-facing patient support, and who can prioritize accordingly depending on what needs attention each week.

Key Responsibilities
Bookkeeping & Financial Administration
- Maintain accurate bookkeeping records in QuickBooks Online (experience required)
- Categorize and reconcile bank and credit card transactions
- Complete monthly account reconciliations
- Enter and organize bills and expenses
- Assist with month-end bookkeeping processes
- Prepare routine financial reports for management review
- Coordinate with leadership, payroll provider, and accountant as needed
HR & Payroll Administration
- Coordinate administrative onboarding of new employees
- Collect and organize required employment documentation
- Add new employees to payroll and benefits systems
- Process employee payroll changes and maintain accurate payroll information
- Coordinate benefit enrollments, changes, and terminations
- Maintain organized employee records and HR documentation
- Track completion of required onboarding tasks
- Follow established procedures for employee departures and offboarding
Patient & Practice Support
When financial and HR responsibilities are current, remaining scheduled hours may be used to support patient-facing administrative needs, including:
- Answer incoming patient phone calls
- Assist with basic scheduling and patient questions
- Complete remote patient check-in procedures
- Assist the patient care coordination team with routine administrative tasks
Requirements
Required experience with QuickBooks Online for bookkeeping and reconciliations Prior experience with HR/payroll administration and employee onboarding Comfortable managing multiple areas of responsibility and shifting priorities week to week Strong organizational skills and attention to detail, especially with financial and HR recordkeeping Comfortable with patient-facing phone communication and basic scheduling support Trustworthy and discreet, this role involves sensitive financial and HR information
